How to prepare a business application project

An application project starts with a task to improve. Gather these details before discussing features and development.

1. Describe a real task

Choose a task your teams carry out today. Describe its starting point, people involved, steps and expected result. Note repeated data entry, information that is difficult to find and approvals that slow down the work.

2. Identify users and data

Clarify who views, enters and approves information. Identify devices, expected languages and locations of use. List existing tools, data to carry over and exchanges to consider. Distinguish confirmed information from questions that still need investigation.

3. Choose a useful first version

Group features into those needed for the initial use, useful later, and still to investigate. The first version should support a complete user journey. Keep future improvements in a separate list to clarify priorities and decisions while preserving the initial goal.

4. Prepare acceptance scenarios

Define situations to check with your users, such as creating a request, finding it again and having it approved. Summarise the project in five points:

  • The problem and expected result.
  • Users and their roles.
  • Workflow steps and required data.
  • Existing tools and priority features.
  • Contacts, timelines and acceptance scenarios.
